{"id":13840,"date":"2026-07-20T19:56:54","date_gmt":"2026-07-20T19:56:54","guid":{"rendered":"https:\/\/kb-california.ondatasuite.com\/?post_type=ht_kb&#038;p=13840"},"modified":"2026-07-20T19:58:31","modified_gmt":"2026-07-20T19:58:31","slug":"calpads-promotion-overrides","status":"publish","type":"ht_kb","link":"https:\/\/kb-california.ondatasuite.com\/index.php\/knowledge-base\/calpads-promotion-overrides\/","title":{"rendered":"CALPADS Promotion Overrides"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Overview<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The <strong>CALPADS Promotion Overrides<\/strong> page allows California OnDataSuite administrators to control how individual CALPADS record types are processed for their district during the current CALPADS validation year.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rather than relying solely on the statewide CALPADS schedule, administrators can:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Enable or disable individual CALPADS record types for processing.<\/li>\n\n\n\n<li>Override the default processing end date for a specific record type.<\/li>\n\n\n\n<li>Continue using the statewide defaults by leaving overrides blank.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This page provides flexibility for districts that may complete certain CALPADS submissions earlier or later than the standard statewide schedule.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Navigation<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Administrator Tools \u2192 Site Settings \u2192 CALPADS Promotion Overrides<\/strong><\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Note:<\/strong> This page is available only for California (CALPADS) districts and is accessible only to users with OnDataSuite Administrator permissions.<\/p>\n<\/blockquote>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Purpose<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The CALPADS Promotion Overrides page allows district administrators to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Control which CALPADS record types participate in routine processing.<\/li>\n\n\n\n<li>Extend or shorten the processing window for individual record types.<\/li>\n\n\n\n<li>Align district processing schedules with local certification timelines.<\/li>\n\n\n\n<li>Override statewide stop dates without affecting other CALPADS record types.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Understanding the Page<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Each row represents a CALPADS record type that is enabled for the current CALPADS validation year.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><thead><tr><th>Column<\/th><th>Description<\/th><\/tr><\/thead><tbody><tr><td><strong>On \/ Off<\/strong><\/td><td>Determines whether the record type participates in normal CALPADS processing.<\/td><\/tr><tr><td><strong>Record Type<\/strong><\/td><td>The CALPADS record category (such as Student Enrollment, Student Programs, Student Information, etc.).<\/td><\/tr><tr><td><strong>Due Date<\/strong><\/td><td>The statewide CALPADS due date for that record type. This is informational only and cannot be edited.<\/td><\/tr><tr><td><strong>Stop Promotion Date<\/strong><\/td><td>The date when processing for this record type will stop for your district. This can be customized if needed.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">On \/ Off<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The <strong>On \/ Off<\/strong> switch controls whether a record type is included in normal CALPADS edits and processing.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">When On<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The record type is processed normally.<\/li>\n\n\n\n<li>The configured stop date (default or overridden) is respected.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">When Off<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The record type is excluded from routine CALPADS edits and processing.<\/li>\n\n\n\n<li>The district will no longer process that record type until it is turned back on.<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong> Turning a record type off requires confirmation before the change is saved.<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">Only disable a record type if your district does not need it for current CALPADS processing or reporting.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Stop Promotion Date<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The <strong>Stop Promotion Date<\/strong> determines the final day that routine processing is allowed for a specific CALPADS record type.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Processing continues <strong>through the selected date (inclusive)<\/strong>.<\/li>\n\n\n\n<li>After that date, the record type is considered closed for normal scheduled processing.<\/li>\n\n\n\n<li>Administrators may later extend the date if additional processing is needed.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If no date is entered, OnDataSuite automatically uses the statewide default stop date for that CALPADS year.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Automatic Saving<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Changes are saved automatically after a brief delay whenever you:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Toggle the <strong>On \/ Off<\/strong> switch<\/li>\n\n\n\n<li>Change the <strong>Stop Promotion Date<\/strong><\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">There is no Save button.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Default Behavior<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If your district has never configured an override:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>All applicable CALPADS record types are enabled.<\/li>\n\n\n\n<li>Each record type uses the system&#8217;s default stop date based on the statewide CALPADS schedule for the current validation year.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">District overrides replace only the settings you change.
