User Impersonation

๐Ÿ‘ค Who Can Use This

The User Impersonation feature is available only to users with Administrator permissions.

Administrators can temporarily sign in as another user to troubleshoot issues, verify security permissions, or experience OnDataSuite from another user’s perspective.


๐ŸŽฏ Purpose

User Impersonation allows administrators to:

  • Troubleshoot user-reported issues.
  • Verify security permissions and report access.
  • Confirm dashboard and menu visibility.
  • Reproduce problems experienced by another user.
  • Test changes without requiring the user’s credentials.

All impersonation sessions are logged for auditing purposes.


โ–ถ๏ธ Start an Impersonation Session

  1. Navigate to Administrator โ†’ User Administration โ†’ List, Edit and Delete Users.
  2. Locate the user you want to impersonate.
  3. Click Edit.
  4. Click Impersonate.
  5. Enter the reason for the impersonation (required).
  6. Click Start Impersonation.

You will immediately be logged in as the selected user.

A banner at the top of the page clearly indicates that you are currently impersonating another user.


โน๏ธ End an Impersonation Session

When you have finished:

  1. Click Exit Impersonation from the impersonation banner at the top of the page.
  2. You will be returned to your own administrator account.

Depending on where you are in the application, you may also have the option to return directly to editing the impersonated user’s account.


๐Ÿ” View the Impersonation Log

Administrators can review all impersonation activity by navigating to:

Administrator โ†’ Logs โ†’ Impersonation Log

The log includes:

  • Administrator who initiated the impersonation
  • User who was impersonated
  • Reason provided
  • Session start date and time
  • Session duration
  • Session status

Possible session statuses include:

StatusDescription
ActiveThe impersonation session is currently in progress.
ClosedThe administrator exited the impersonation session normally.
ExpiredThe session ended automatically after a period of inactivity without being formally closed.

  • Always provide a clear reason when starting an impersonation session.
  • Exit impersonation when you have completed your troubleshooting.
  • Review the Impersonation Log periodically to audit administrative activity.
  • All impersonation sessions are recorded for accountability and security purposes.
